This website, outboxmedia.co.uk, is operated by Outbox Media, a London-based multimedia design agency. These terms apply to your use of this website and to any design, print, video production or web design project you commission from us.

By browsing this website or engaging us for a project, you agree to these terms. If you don't agree with them, please don't use the site or proceed with a booking.

Using This Website

All content on this website, including logos, project imagery, video, copy and design work, is the property of Outbox Media or the respective clients credited, and is protected by copyright. Pages of this site may be viewed and shared for personal, non-commercial reference, but no design work, imagery or branding shown here may be copied, reproduced or reused without written permission.

Reasonable efforts are made to keep the information on this site accurate and up to date, but no guarantee is given as to its completeness or accuracy, and it's provided "as is". Links to third-party websites (client sites, social media, etc.) are provided for convenience; we aren't responsible for the content of external sites.

Quotes & Accepting a Quote

Quotes for commissioned work are based on the brief and information available at the time, and are normally valid for 30 days. If the scope of a project changes materially once work is underway, the quote may need to be revised; this will always be discussed and agreed before any extra cost is incurred.

A quote can be accepted either by signing it or by confirming it in writing by email. Either way, accepting a quote means accepting these terms. A project is confirmed once a quote has been accepted and, where applicable, the deposit received.

Payment

Unless the quote states otherwise, a deposit of 50% is payable before work begins, with the remaining balance due on completion and before final files are delivered or a website is made live.

Payment is by bank transfer (BACS) to the details provided on the invoice. Invoices are payable within 14 days unless a different date is stated on them. We reserve the right to pause ongoing work if payment is significantly overdue.

Invoices paid late attract statutory interest and compensation under the Late Payment of Commercial Debts (Interest) Act 1998. This won't necessarily be applied on every occasion, but the right is there if needed.

Revisions & Project Process

Quotes include two rounds of revisions as standard, unless a different number is stated on the quote. Requests beyond this, or changes of direction after work has already been approved, are chargeable as additional work and will be quoted separately before proceeding.

Timely feedback and any content being supplied (text, images, logos, login details, etc.) help keep a project on schedule. Delays on the client's side may push back the delivery date.

Third-Party Costs

Some projects involve third-party costs, such as printing, stock imagery, fonts, hosting, domain registration or plugins and licences. These are quoted separately where possible and passed on at cost, or otherwise as agreed. Once a cost like this has been incurred (an order placed, a licence bought, a domain registered), it's payable regardless of how the project itself proceeds.

Ongoing Services: Hosting & Domains

Where we host a website or hold a domain on a client's behalf, this runs on an annual renewal, billed ahead of the renewal date. If a renewal invoice isn't paid, the site or domain may be suspended or allowed to lapse, and a lapsed domain can't always be recovered once it's released. Login details and control of hosting or domains will be handed over to the client on request at any time.

Ownership, Copyright & Working Files

Once a project is paid for in full, ownership of the final agreed deliverables (for example, final logo files, the final website, or the final video export) transfers to the client for the purposes agreed at the outset. Unless agreed otherwise in writing, we retain the right to display the work in our portfolio, on this website, and on social media for promotional purposes.

Source and working files, such as layered PSDs, Premiere or After Effects projects, and InDesign files, are not included as standard and remain with us unless purchased separately and agreed in writing.

Preliminary concepts, drafts and design directions not ultimately chosen remain our property and may not be used without agreement.

Clients supplying their own content (photos, logos, text, footage) for use in a project confirm they have the right to use it, and are responsible for it if that turns out not to be the case.

Cancellations

If a project is cancelled after work has started, the deposit is non-refundable, and any further work already carried out is charged pro-rata based on time and materials used, invoiced before any files are released.

Liability

Work is delivered to a high standard and on the agreed timeline wherever possible, but we can't be held liable for indirect or consequential losses, such as lost business or profits, arising from the use of work produced. Total liability for any project is limited to the amount paid for that project.

Confidentiality

Any confidential information shared as part of a project (business plans, unreleased branding, etc.) is kept confidential and used only for the purposes of delivering that project.

Governing Law

These terms are governed by the laws of England and Wales, and any disputes are subject to the exclusive jurisdiction of the courts of England and Wales.

Changes to These Terms

These terms may be updated from time to time. Any changes will be posted on this page with an updated date at the top. For an active project, the terms in place at the time the quote was accepted will apply.
